Coaches and Managers Guide

Introduction:

 
Holland Park Hawks is a family-based and community-focused not-for-profit football club that strives to provide healthy, fun, team-based football to local juniors and seniors, boys, girls, men and women. Since 1977 the Hawks has been a focal point in the community for families and individuals to come together to savour the joys of the world game.
 
Structure:
 
The club is run through a relatively small executive group that interacts with the various functional roles in the club. (See attached organisation chart.) All of the executive and operational roles in the club are voluntary..
 
Teams Management Roles:
 
Each team in Hawks is managed by two people. In the juniors these people are often volunteer parents of players within the teams. These roles are:
 
Manager:     Contact between the club and the team who manages all organizational, administrative and communication aspects of the team. Main club contacts are the Registrar and the head of Football Operations.
 
Coach:         Coaches, trains, supports, mentors and assists all players in all aspects of the game including running all training sessions and leading the team on game days, working under the guidance of the club Football Director and Technical Director. Another key club contact for coaches is the head of Football Operations.
 
Communications:
 
Communications within the club follow the hierarchy described above. Once players are in teams the line of communication from that player and his / her family is through the coach and manager. If there is an issue to be raised or information is to be sought from the club then the team manager or coach should follow the contact points set out above.
 
The best source for any club information is the Hawks web site and all families should be encouraged to use this as their port of call whenever they have a query.
 
If a coach or manager needs to to contact the club then e-mail is best as it can be difficult for members of the executive to field and return phone calls in a timely manner.
 
When the club issues any information that is to go to the players this will be posted onto the web site and an e-mail with a link to the web site and message will be issued to the coaches and managers only. It is then the role of the manager to ensure this is passed on to each member of the team.
 
Manager’s Roles and Duties:
 
The Manager’s role, in summary, is:
 
o   Be the contact with and conduit between the team and the club
 
o   Manage all team personnel and communications issues including obtaining all information from the club and distributing information to players; and
 
o   Manage player and team and administrative matters so the coach is free to concentrate solely on training and coaching the team
 
Manager’s Duties:
 
·    Ensure coach and manager each have Blue Card
 
·    Ensure coach and manager has each completed team official registration forms – obtain ID cards from head of Hawks Football Operations
 
·    Form team lists with contact details and distribute to team
 
·    Advise Registrar of any corrections or changes to team lists
 
·    Ensure coach has training schedule and all team is aware of training time / location
 
·    Get fixtures and field location information to parents
 
·    Organise orange roster for half time
 
 
·    Manager should be aware of any special medication needs of players
 
·    Whilst not compulsory, many managers organise the end-of-season party for the team and families with a gift / show of appreciation for the coach
 
·    U12 and older
 
 o   collect match fees canteen match days 
 
o   Pay fees to referees prior to kick-off on match day
 
Managers on Match Day:
 
·    Fill out match sheets (u12 up)
 
·    Subs rotation (U6 to U10 teams only)
 
·    Enter final score onto ResultzVault (u12 up)
 
·    U12 and older: collect match sheets from referees and swap a copy with opposing team.
 
Email copy of match sheet to football brisbane
 
Special Notes for Coaches:
 
  • Home team to provide 2 match balls
 
  • It is Club policy that, all things being equal, all players should have equal playing time over the course of the season.
 
  • It is not Club policy to grade individual players below U11 although teams may be graded to assist the division-setting process
 
  • It is a key part the coach’s role to bring out the best in each and every player: no player ever became a better player by spending more time sitting on the sidelines than his / her team mates.
 
  • Most Hawks Coaches ensure that, at the end of each game, the players give 3 cheers for the opposing team and also for the Referee. All Coaches should endeavour to adopt this practice
 
  • Holland Park Hawks is, above all, a family-based club that seeks to promote enjoyment and love of the game, respect for opponents, team mates and officials and all-of-team participation. It is vital that Coaches instil these values into their players.

Wet Weather:

 
Please ask your players not to ring the club on match days when it is raining enquiring if matches are on or off. On wet days a club official will visit the grounds and make a call as to whether games will go ahead. We will then post a notice on the web site to advise if games are on and, if necessary, endeavour to contact each manager. The general principle is: if you do not hear otherwise you should always assume that your game is on.
 
Unfortunately you cannot make the decision yourself as to whether a game is to be postponed or not. If a game is going ahead any teams that are not readyto take to the field at the designated time will forfeit the game.
 
Training: 
 
A similar approach will apply to training. Here, though, a coach can make a call to cancel training of his / her own volition. Again, please ask families not to ring the club to enquire about training on wet days but rather to check the web site and / or contact their own team manager.
