Notice is hereby given that the Forty-fifth Annual General Meeting of members of the Weston Molonglo Football Club will be held at 7.30pm, Monday 21st March 2016 in the Hawkes Room, Raiders Weston Club, Liardet St, Weston.
 
A member eligible to vote at the Annual General Meeting may appoint a proxy in accord with Clause 36 of the Constitution.

Business

1. To confirm the minutes of the Forty-fourth Annual General Meeting held at the Weston Club on 30th March 2015.
2. To receive from the committee reports on the activities of the club during the 2015 financial year:
3. President’s report including progress report of the club’s strategic plan
   1. Junior sub-committee
   2. Senior Sub-committee
   3. Finance Sub-committee
4. To receive and consider the financial statements for the 2015 financial year
5. To elect Life members to the Club
6. To vote on a special resolution to update the following parts of the Constitution to effectively change the financial year to end on the 30th of September. 
   1. Replace the the definition of the Financial year on page 3 to "means the year ending 30th September"
   2. Replace clause 31.1 to "The Financial year of the Club shall be the calendar year to 30th September"

Background: 
This proposed amendment is to align the governance calendar (the election of a new committee at the AGM) with planning for the next season. The club's financial year currently ends on 31 December. After audit preparation and mandatory notice period, the planning for the next season is already well underway if not completed by the time the new committee and sub-committees are formed. This proposal aligns the governance timeline with the operational planning timeline. Eg It would be proposed the AGM is held in November or December rather than the current dates of March (or possibly later).

7. To vote on a special resolution to add the clause 13.8 which will read:

An office-bearer may not hold a particular office continuously for more than three years, or immediately after the next annual general meeting following their third anniversary in that office, whichever occurs last.

Background:
A strategic priority for the club is to "improve the membership". One strategy to achieve that goal is to ensure all members feel confident to nominate for the committee. It is proposed the constitution is amended to allow a person to serve up to three years continuously in the same role on the committee. Note this proposal would not preclude a member from serving continuously on the committee for many years by nominating for different roles every two or three years eg secretary then junior chair then vice president then senior chair then president
