To all Clubs, Regional Committees, Regional Managers and the Board
The following is an update on where we are at with providing the capacity to offer online registration forms in addition to the traditional hardcopies that we are more accustomed to.
The ultimate objective is to move to less reliance on the hardcopy approach. This whole process has had the gestation period of an elephant and for that we thank you for your patience and understanding.
The introduction for AFL GSJ will happen in two parts.
Firstly for existing participants , which is the bulk and probably accounts for 70 – 80% of your total registrations, the club registrar will be able to send a block email , to all those on the club list that have an email address included in the existing database, directing them to a link which will be set up on the league/Club website. The individual will access the registration form with the current data, where applicable, that is already on the existing database. The participant will be able to edit/add detail and accordingly activate the registration. If a club chooses to provide the facility to pay registrations that will need to be set up seperately before hand.
This first step will require the transfer of existing data which will be done by footyweb. We are expecting to be able to pass on to clubs the necessary re-registration instructions by around mid January.
The second part is for new registrations which is a little more complex as it requires the inclusion of the transfer process. We hope at the time the re-registrations go live to give you an update on when the new registrations will be available.
Once this long awaited facility is available we strongly encourage you to push to a transition to on line registration as it will:
· Save your club volunteers valuable time and likely cost
· Reduce data errors caused by transition when updating records
· Mean the capture of more information which benefits the club and the AFL and
· Allows the participant to complete the re registration form at his or her own pace
