SCBC Duties for Team Managers

Welcome to the South Camberwell Basketball Club and thank you so much for volunteering to be a Team Manager. The team manager role is an integral part of our club and is greatly appreciated by the club, parents, coaches and players.

DUTIES OF THE TEAM MANAGER

Duties prior to the start of the Basketball Hawthorn (BH) basketball season:

Register your team to play with SCBC

Note - The SCBC ‘standard team registration fee’ is an all-inclusive fee which covers a coach fee, mid-week training venue, HBA registration fee, BH season match fees and finals fees, Basketball Victoria insurance cover and BH referee fees. A reduced team registration fee applies to teams that do not have a coach and/or do not have mid-week training. Contact the SCBC Treasurer with any queries about registration fees.

  • Collect your team’s registration fees for the forthcoming basketball season
  • Ensure that all of your team players, coach and team manager have registered with the BH's (HBA’s) online registration system, SportsTG, following the relevant player or administrator registration link provided to you by SCBC Committee.
  • Pay your total team’s registration fees into the SCBC club bank account on behalf of your team by the due date. Include your team name and age group in the description so that the club treasurer can identify your team’s registration payment coming into the account.  
  • Fill in your team’s registration form (supplied by SCBC) and email the completed form to the SCBC Registration Co-coordinator by the due date.
  • All team managers, coaches and committee member are to complete their Working With Children checkas part of the BH registration process.  
  • Email the SCBC Training Co-coordinator with any requests for new or changed training venue requests for your team.  The club will do its best to accommodate changes to venues and training times but as we have access to a limited number of courts and timeslots, we cannot guarantee that your first choice will be available.

Kit out your players in the SCBC teams official club uniform

Note - SCBC has an official club uniform that includes a reversible singlet and shorts with the SCBC name and logo. Singlets will show the player’s number on both the front and back of the singlet. It is compulsory for SCBC team players to wear the official club uniform when taking the court. Penalty points will be scored against your team by the match referees for any players not wearing club uniform (singlet and shorts).

Currently the cost of the SCBC official club uniform items is $90 per uniform set (one singlet top and one pair of shorts), $55 per singlet top and $35 per pair of shorts.

SCBC also has available a SCBC hooded sweater (or hoody) that includes the club name and logo. The hoody is an optional clothing item and currently costs $40 per hoody. Orders to purchase a hoody should also be submitted to the SCBC uniform coordinator by the notified cut-off date. Payment for hoody orders should be made to the SCBC club bank account.

  • Ensure all your team players have submitted uniform orders via email to the SCBC uniform coordinator by the notified cut-off date which is usually a month before the basketball season commences.
  • Ensure payment for uniform orders has been paid into the SCBC club bank account and include the player’s name and team in the description so that the SCBC Treasurer can identify each player’s uniform payment coming into the account.

Tip: Singlet number 50 is the SCBC club number and players cannot choose number 50 when ordering a new uniform singlet.

Duties during the BH basketball season:

Fill In Players:

  • Teams are permitted to obtain fill in players to have up to six (6) players available for a single match. If a sixth registered player arrives, the fill in player must be removed from the game and cannot return to the court.
  • Fill in must be from a lower division or age group. For example; U10 B grade player can fill in for U10 A grade but not for U10 C or D.
  • An individual player can fill in with another team for a maximum of two (2) games per season. If the player fills in for a third game with that team they become officially recognised as a bona fide member of that team and cannot return to their original team.
  • The use of representative players as fill ins requires prior approval from BH management. If approval cannot be sought before the match due to circumstances beyond the team’s control, this should be discussed with the venue supervisor before the game.
  • Fill-in must be registered on the BH website prior to arriving at the venue. The link can be found under the BH Competition tab – Fill-In Players.

Keep your team updated with their match fixture

  • Notify your team players, parents and coach of the day, time and venue for your team’s mid-week training slot (relevant only to SCBC teams who pay the applicable registration fee which includes a one-hour ½ court weekly training allowance).
  • Notify your team players, parents and coach of your season draw or provide the link to the online Fixture provided by the HBA (http://www.hawthornbasketball.com.au/). Before your scheduled match time, check the fixture for any last-minute scheduling changes made by the HBA that impact your team.
  • Draw up a parent ‘Scorer’ duty roster so that your team provides a responsible person to score at each match. Penalty points will be scored against your team for not providing a scorer.
  • Refer any concerns or issues that arise to the SCBC Team Coordinator.

Tip: Encourage your team players, parents and coach to download the SportsTG ‘Game Day’ app which includes the Fixture and Ladder for your team’s division. The Game Day app is also updated by the HBA with any last-minute scheduling changes that impact your team. A link to the BH fixtures is also found on both the BH website.

Tip: check out the free ‘teamstuff’ app which is designed to make the life of the team manager and team members a lot simpler. You can include your team’s training details, match schedule and venues, parent duty roster and player attendance all within the teamstuff app. You can set up an automatic email to your team members when adding or changing match or training schedules. But you will still need to check the Game Day app for any last-minute scheduling changes that the BH makes and update teamstuff accordingly.

Notify BH and SCBC of Match Forfeits

  • Match forfeits by your team must be notified to the BH team contact (competitions@hawthornbasketball.com.au and cc. SCBC.operations@gmail.com) at least 24 hours before your scheduled match time, to avoid a penalty fee charged by the BH to SCBC for team forfeits or no shows.
  • As soon as you know that your team will be forfeiting a match please notify by email both the SCBC Team Coordinator and the BH Competition Manager.
  • You must have a minimum of 4 players on court at the scheduled match time, otherwise your team will forfeit.

Respectful behaviour on Match Day

  • Make sure Basketball Victoria Codes of Conduct are followed by your team’s spectators, players, team manager and coach. The Code of Conduct is available on the BH and SCBC websites.
  • Encourage your team members to arrive at least 15 minutes prior to the scheduled match time for warm up and briefing with your coach.
  • The SCBC ‘Blue’ side of the singlet should be worn for ‘Home’ games, unless there is a clash with the opposition team’s uniform. The SCBC ‘White’ side of the singlet should be worn for ‘Away’ games, unless there is a clash with the opposition team’s uniform.
  • Make sure your team’s parents and other spectators do not sit on the players bench – the bench is only for players and the coach.
  • Make sure the rostered parent presents to the scorers’ bench at least 2 minutes prior to your scheduled match time. Only the responsible scorer should sit on the scoring bench.
  • Make sure the BH ‘Courtside’ electronic score sheet (now on iPad) is completed by the responsible Scorer prior to the scheduled match time (player names, player numbers and add any fill-in players) and explain how to use Courtside to inexperienced parents.
  • Remind your team scorer to remain on the score bench until the BH Referee finalises the score. With Courtside, there is no correction to the final score after a score sheet has been submitted.
  • Cover scoring duty if the rostered parent fails to arrive.
  • Refer any concerns or issues that arise to the SCBC Team Coordinator.

 Registering new players after the pre-season registration period has closed

  • Online registration via the SportsTG link used for players at the start of the season will need to be completed, then contact the SCBC Team coordinator to advise of the new player registration after the cut-off date (include the team, new player’s name & singlet number). The SCBC Registration Coordinator will contact BH to arrange the new player to be linked to your team (this will then reflect in Courtside).
  • If the new player is moving from another club to SCBC, please notify the SCBC Team coordinator as a club clearance letter may need to be obtained by the BH.
  • Arrange any suitable registration fee adjustment with the new player and potentially you will need to refund some of the fee paid by your existing players)

Registering new team manager or coach after the pre-season registration period has closed

  • Online registration via the SportsTG link used for officials at the start of the season will need to be completed. This will include the Working with Children check.
  • Please advise the SCBC Team Coordinator and the SCBC Delegate of the change.

Tip: Maintain a list of potential fill-in players for your team – ask your parents for assistance on fill-ins (fill-ins cannot be BH players in your age group in your division or a higher above or an older age group) or ask the club for other team manager names in a lower age group who may be able to provide you with fill-ins).

Qualify players for Finals:

  • Check periodically the BH ‘finals eligibility list’ for your team to ensure your players are registered and on track to meet the minimum 5 season games (grading games, byes and forfeits do not count) via the Finals Eligibility link on the BH website.
  • Before the season ends, check the availability of your players and coaches for the semi-final and final matches. If there is the potential for a clash, please complete the HBA Jot form application before the cut-off date that will be supplied by SCBC. The BH will try and accommodate requests and avoid clashes but offer no guarantees.
  • If your team makes the finals, ensure players, parents and coach are aware of the time and venue and roster a responsible Scorer.
  • Email any concerns to your SCBC Team Coordinator.

Duties for the end of season:

End of Season Celebrations

  • For U12 players and below, SCBC arranges an end of season player gift for each registered player. The team chooses whether all players will receive a trophy or voucher (e.g. movie voucher) from the club. Advise the SCBC Team Soordinator whether your team prefers to receive a trophy or a voucher before the cut-off date at the end of each season.
  • For teams that have a registered coach, SCBC pays the non-parent coach a token coach thank you fee at the end of each season. Collect your coach bank account details from your coach and email the SCBC Treasurer who will arrange payment of the coach fee directly to your coach’s bank account.
  • SCBC holds an annual celebration called the SCBC Family Day which is a free event open to all family and friends of the club.  The SCBC Family Day is usually scheduled at the end of the BH Summer Basketball season (towards the end of March). Once the details of the SCBC Family Day have been announced, please invite and encourage your team members to attend.

Tip: Some SCBC teams also arrange an additional thank you gift or payment from the parents to the team coach on the basis that the coach fee paid by the club (which ranges from $200 to $320 depending on the age of your coach) is a token amount that does not fairly reflect the time, effort and passion provided by team coaches. This is optional and completely at the discretion of your team.

Tip: Some SCBC teams also arrange a team social function at the start and end of each season. This is optional and completely at the discretion of your team.

Duties if Starting a new SCBC team:

  • BH Basketball Seasons are Summer Season (Victorian School Terms 4 & 1) and Winter Season (Victorian School Terms 2 & 3). Matches are generally not scheduled during school holidays or public holidays.
  • Teams register in Age Groups – Under 9, Under 10, Under 12, Under 14, Under 16, Under 18 or Under 21. To qualify for an age group, a player must not turn the age of the competition prior to 31 December.

For example, to be eligible to play in the Under 9s competition in Summer Season 2019 (season commencing Term 4, 2018 and concluding Term 1, 2019) the player must still be 8 years old on 31 December 2019. To be eligible to play in the Under 9s competition in Winter Season 2019 (commencing Term 2, 2019 and concluding Term 3, 2019) the player must still be 8 years old on 31 December 2019.

  • Collect a group of interested players – 8 players is an ideal number
  • Find a coach or parent available to train the players and coach them on match day
  • Make contact with the SCBC Registration Coordinator and let them know your Team Manager contact details, player age group, which season you wish to commence playing (Summer or Winter) and whether your team would like to do mid-week training.
  • Contact the SCBC Training coordinator for a suitable training time and venue that suits your team players and coach
  • When ready to register for the next BH Basketball Season, please refer to the Team Manager duties above for details of your ongoing team manager roles and responsibilities.

Tip: Before you order SCBC player uniforms, contact the SCBC uniform coordinator if you would like samples of uniform sets (compulsory club uniform) and hoodies (optional club item) to try on for size.

Tip: You may choose to train a whole season prior to starting to play. If so, you will need to collect money from the parents to pay to SCBC to cover the cost of the training slot (but no SCBC team registration fees are payable until you register to play in the forthcoming BH Basketball season).
