Pam Sullivan – resignation from Secretary:

Recently Pam Sullivan resigned from the position of Secretary at the club and the board has accepted the resignation.

Pam has worked tirelessly since filling the role for approximately the last year and half as well as prior to taking on this role, being a valued committee member. Pam stated in her resignation that it was due to being burnt out and it being increasingly difficult to complete work in her role with the club (as well as in some instances where Pam had taken on more than just the Secretary role), complete work in her normal full-time role as a doctor and having the ability to spend valuable time with her family and friends.

The current board, on behalf of the entire club would like to acknowledge the work of Pam Sullivan in her time with the club and sincerely thank her for the tireless amount of hours and effort. We wish Pam all the best in her future.

Management of work related to the role of Secretary:

The work of the secretary (such as the WDBC email inbox, registrations etc) is currently being monitored by myself.

The constitution allows the appointment of a Secretary from one of the existing committee members voted by the board during the term, up until the end of the current term. However, where a current committee member does not volunteer, the constitution only allows for the filling of the position from outside the board, if the purpose to do so is to maintain a quorum of five (5) committee members. The board currently has a quorum. Therefore, the board has taken the decision to open up expressions of interest for an Administrative Assistant. This position will sit on the Finance & Administration sub-committee to fill the role and complete the work up until the end of the term which will be at the next AGM, where the position of Secretary can be elected as per the constitution. The position of Administration Assistant being on a sub-committee will obviously not be in attendance at board meetings, nor will the position have any right to vote on matters as part of the board.

 

Constitution, Strategic Plan and Business Structures:

The constitution, strategic plan and a business structure flow chart have been uploaded to the club’s website. In researching the current position of the club and dealing with some matters inherited by previous operations, the board has become more aware that in order for this club to move forward and have maximum potential to grow, we must take some time to re-establish and work on important structures, systems, policies and procedures in line with the strategic plan which will clearly define and maintain the direction for the future. It is important to note that this club will not and has not in the past moved forward with the current lack of structure and club development, where most procedures, structures, communication flow and systems are not documented, or in some instances do not exist. This is not a short-term view, this is the big picture focus and it will take some time. For this reason, the strategic plan and the business structure flow charts may change and be updated as the structure of this club and the club’s operations undergo this club development moving forward. There may also be at times calls for involvement from the wider club community in order to gain valuable information and ideas.

Key areas of focus for club re-development (but not limited to):

1.       Finance

2.       Sub-committee structures

3.       Systems, procedures, policies

4.       IT infrastructure - centrally stored information and remote access, club email addresses, internet marketing (including, webpage, Facebook, Twitter and YouTube), online registrations, payment options (online, direct debit etc)


 

St Clair Recreation Centre Upgrade Focus Group Meeting:

Charles Sturt Council have put a significant amount of money into a “Quick Fix” budget. There are tenders being called for now in relation to the desired work. It has been highlighted that the “Quick Fix” project will include the foyer and canteen area of St Clair, the ceiling of the main stadium and the wet area (toilets and change rooms). We have been advised that the council intends for there to be little disruption during time of the work. However, some disruption will be unavoidable. More detail will be known once tenders are reviewed and the contracts provided for work to proceed.

180 Sport have recently conducted a research into the future demand of St Clair recreation centre. They are currently working with the Council’s focus group, primary stakeholders and secondary stakeholders to ascertain the demand and put together a report outlining the recommendations on the best way to conduct such an upgrade. The timeline for this research to be conducted is as follows:

Monday 31st                  March Primary Stakeholder Meetings Commence

April 4th                          Secondary Stakeholders invited response closes

Mid April                         Key Findings Report

Late April                        Reference Group Presentation and Feedback

Late May                        Draft Concepts and Report

Early June                      Reference Group Presentation and Feedback

Late June                       Council Presentation (in Principle support)
