HOW TO REGISTER A MODULE / COMPETITION
The process has changed slightly this year to make the affiliation more efficient and transparent.
Please fill out the online form with your Module's details (via Touch NZ website). Upon receiving this, Touch NZ will email you an Invoice and Contract that you can sign electronically – upon doing this is will automatically be sent to your Provincial Association for approval and then to Touch NZ.
To remain affiliated after you register with Touch NZ your module must abide by the affiliation requirements of your Provincial Association
When all parties have signed the form, a PDF copy will be sent to the Module Manager, Provincial Association and Touch NZ.
Upon receipt of your payment ($350 per competition*) and signed contract, Touch NZ will undertake the following:
1. Register your competition(s) as an affiliated member of Touch NZ.
2. Advertise your competition(s) under the affiliated competitions list on the Touch NZ website.
3. Forward your Module Registration Pack (from September 19 2013).
This will include:
a) Letter of Affiliation
b) Scorecards
c) Referee Rule Cards
d) One 8th Edition Touch NZ Rule Book
*Please note that there is a distinction between a Module and a Competition. Juniors and Seniors are classed as separate competitions even if they run on the same day/night. Running over different days of the week usually also constitutes separate competitions; for example, if the Module run Mixed on Monday and then Men's, Women's and Juniors on Tuesday then this equates to 3 competitions and you will be invoiced $1050. Modules that run one Grade split over two nights will only be charged for one Competition.
Player and Team Registration
Touch NZ is required to provide its annual membership numbers to Sport NZ. This
reporting directly effects government funding to the sport and your assistance
is vital – Team and Player Information is required to be provided to Touch New
Zealand by Friday November 29 2013 in one of the following ways:
1. Full Online Registration through Sporting Pulse
This service provides Module operators with a full package of Online Management tools to run your Touch Module. Teams and Players will be able to Register Online and you will be able to track registrations, communicate with your players and
accept season fees.
Some computer knowledge is required to operate this effectively but Touch New Zealand can provide support free of charge and will work with you to set it up. Support will also be provided to your members on how to use the system. It can either be integrated into your existing website or a new website can be created.
2. Electronic Team Sheet (Offline PDF Registration)
Teams and player information may be provided to Touch New Zealand as a PDF Team Sheet. These sheets can be filled out using the free Adobe Acrobat
Reader program. Teams may fill this form out and return to the Module Manager (by email) or the Module Manager may re-enter information from traditional Team sheets and then send this to Touch NZ.
This system requires the Module Manager to gather information and deliver it to Touch New Zealand. The (paper) Touch New Zealand Team Registration Form can be used in conjunction with this to gather information but all information from the paper forms must be transcribed to a PDF form and delivered to Touch New Zealand via email.
3. Excel Spreadsheet
Teams and player information may be provided to Touch New Zealand as a Excel Spreadsheet. Please ensure that the correct player information is recorded.
Handwritten teamsheets will not be accepted.
Non-compliance in the the return of Player Information by November 29 2013 will result in additional $35 per team affiliation fee for your competition(s).
"Player Information" refers to First Name, Surname, Date of Birth, Email/Mobile Phone.
Module Managers are encouraged to contact Sarah Dance at Touch New Zealand on 021 286 8246 or sarah@touchnz.co.nz to assist with the set-up for Online Registration.
